NIH Grant Application->Award Timelines

For easy viewing-searching, please see below for grant application submission, review, processing, and award timelines posted as comments in NIH Paylines and Resources (writedit will move them here from interactive discussion). For those posting their timelines, since the whole thread is not carried along, please include the IC, funding activity code, and scores/percentiles along the way plus any useful advice, tips, cheerleading, etc.. Thank you all!  Last updated: 8 June 2021

Today I received my Notice of Award for my 1st R01 (A0; NICHD), that was submitted in…..February 2020. Yes…16 months from submission to award. So wanted to put that out there for those who are still waiting.

First, I have to start by thanking Writedit and all of the people who post here for this priceless resource which has helped me in so many ways not the least of which is maintaining my patience and sanity. My NIH funding journey has been filled with disappointment but has now culminated in the ultimate reward.

As background, I joined faculty at my institution in 2011 on an Institutional K12, a clinical researcher with a heavy clinical load which was lessened thanks to the protection of the K12 for two years.

I unsuccessfully applied for a K23 FOUR times (twice at NICHD and twice at NHLBI). Four. 2 A0s and 2 A1s in between 2014 and 2017 to two different institutes. That was pretty demoralizing. Was an MPI on 1 R21 with 2 other PIs in the middle of all that which helped light a tiny spark of hope. Fortunately I had the support of incredible mentors and was able to cobble together grants from various foundations to keep my own personal passion project going and keep publishing. Finally at the end of 2019 I decided to take the plunge and just go ahead and submit my first R01.

The timeline below is a reflection of 1) Cycle 1 submission; 2) A global pandemic; 3) Continuing resolution; 4) Outstanding PO who communicated expeditiously whenever I reached out. Of note, NICHD does not publish paylines hence there is a bit more ambiguity.

11/2018 Initial phone conversation with PO about Specific Aims.

02/04/2020 Status: Application entered into system.

02/19/2020 Status: Scientific Review Group review pending. Refer any questions to the Scientific Review Administrator.

06/24/2020 Status: Scientific Review Group review completed (impact score 19; percentile: 5.0): Council review pending. Refer any questions to Program Official.

07/16/2020 Summary Statement available.

07/23/2020 Post-review conversation with PO; great score, nothing specific to address in rebuttal, funding chances lookk promising but can’t guarantee anything.

09/10/2020 Status: Council review completed.

10/20-1/21: Pandemic. Continuing Resolution. Ongoing reassurance from PO that things are promising but nothing official until it’s official.

01/2021: Request from PO for Clinical Trial milestones document

02/11/2021: Pending administrative review. Refer any questions to Program Official or Grants Management Specialist.

03/10/2021: Personalized JIT request from GMS

03/18/2021: JIT submitted

05/27/2021: Status: Award prepared: refer questions to Grants Management Specialist.

06/08/2021: Status: Application awarded.

Thanks again to writedit and all. What an amazing community of scientists.

Last week I got my first NIH grant funded–an R01 from NIA. Thanks so much for maintaining this website, since I did not have mentors who could fill me in on what phrases like “Pending administrative review” really meant! I will post my timeline below.

For others posting timelines, maybe include the date of the Notice of Award instead of just saying “today,” since the timestamp can get lost when the comment is archived. I also would have liked to see by what % people’s awards were cut. I found myself wondering what the range was, to help me plan in advance how to reduce my budget.

Also, a note in case it’s of interest to other newbies: not only can NIH start your award after your proposed start date, but they can also start it before your proposed start date, even considerably earlier. I had entered a start date of Jan. 1, 2021, but my award will start Sept. 1, 2020, I guess because they wanted to allocate the money this fiscal year. This was unexpected (but I’m not complaining :).)

My NIA R01 timeline:

02/05/2019: First R01 application entered into system.
06/06/2019: Received impact score of 40 and percentile of 28.
06/19/2019: Receive my full summary statement.
Late summer 2019: After many unsuccessful attempts to contact my PO, by email and phone, I finally talk with her once. She gives me some feedback on the application and encourages a re-submission.

11/05/2019: Submit revised application (A1).
02/11/2020: Scientific Review Group review completed: Council review pending. Refer any questions to Program Official.
02/12/2020: I get impact score of 24 and percentile of 13; within NIA’s funding range for early stage investigators.
02/20/2020: Receive my full summary statement.
07/01/2020: Council review completed.
07/06/2020: Pending administrative review. Refer any questions to Program Official or Grants Management Specialist.
08/05/2020: Award prepared: refer questions to Grants Management Specialist.
08/17/2020: Application awarded; received NOA with 18% cut to proposed budget and revised (4 months early) start date.

I really learned a lot from this amazing site, Thank you! I will contribute a R44 grant timeline for NIAID. We are really lucky to get this one especially during this uncertain times.

There isn’t a lot of information the R36 mechanism so I thought I’d post my timeline here. My impact score was a 27. When I spoke to my PO after receiving the summary statement, they were optimistic and said it was within the fundable range, but could fall on either side of the funding line. This was in contrast to my A0 application with an impact score of 38, for which I was strongly encouraged to resubmit.

Writedit, thank you for the very informative blog that helps ease all the impatient minds out there, mine included. For a different perspective I wanted to post my timeline for an industry NIH grant, since it seems the information available is even less than academia. This is for an NIH NINDS U44 Cooperative Agreement and while it took a while the process has been smooth and the staff has been great.

{incomplete but informative}:

Hi write edit, as with everyone else, thanks so much for the huge resource you provide (the NIH should put you on retainer!) Your advice helped me land a F32 years ago (!) and I’m back with a question about a K99.

My question regards the highly ambiguous ‘pending’ status. Looking over previous responses, I’m still not quite clear what this means or what my next steps are. During my last communication with my PO I was told: others need to review the package so the status may change. Then the status changed to ‘pending’. If you could give me your honest appraisal of what ‘pending’ means I’d really appreciate it. Im not sure if I should be contacting the PO or just waiting. I dont want to seem unengaged, but also dont want to pester. Thanks!

If it helps at all, the K99 is at NHGRI. The timeline has been as follows:
06/26/2019 JIT submitted
05/21/2019 Council review completed.
03/11/2019 Scientific Review Group review completed: Council review pending. Refer any questions to Program Official.
10/19/2018 Scientific Review Group review pending. Refer any questions to the Scientific Review Administrator.

Of note, the council review occurred a month before the status changed on ERA Commons. Also the award went from “prepared” back to “pending” because there was an issue in the budget (a nervous 2 weeks for me). There was also 3 months between the start of the administrative review and the NOA, so don’t get nervous when weeks pass by during the Pending phase.

Dear writedit,

{added this one to remind everyone eRA status changes are never guaranteed indicators of awards}:

My Status History is confusing. On Jan 29th, the status was “Award Prepared”, but today (Feb 7th), it changed back to “Pending administrative review” and listed the date as Jan 29th, which was not there yesterday and even this morning when I woke up and checked. Have you ever heard of this happening before? I wonder what happened.

^This status appeared on 02/07/2019….

I posted a couple of questions about NCCIH RFA and FY18 EOY funding back in Sep. It did not make the opportunity at that time-my proposal went into administrative review but ‘bounced back’-very frustrating. However, it was waitlisted for FY19, went to admin review again in Dec, and I was lucky enough to receive the award just now. Below is the timeline.

Thank you for the helpful comments and the great resource!

I wanted to share my timeline since I found this resource to be so incredible! Especially during the times when I would check ERA which updates before emails and notices go out! My K01-A1 was recommended for funding last year but the IC maxed the K budget before funding mine. I was encouraged to submit a new K01-A0 which was scored well but not quite as well as my A1- the study section had just been completely rearranged. During a discussion with my PO in Dec 2018 about my new A0 score I was told my A1 was being recommended at the upcoming council.

1st submission Sept 2017 Impact 37 (A0)
2nd submission Jan 2018 Impact 30 (A1)
3rd submission Sept 2018 Impact 33 (new A0)

Cannot wait to get the official NOA!!!!

Thanks for the detailed response.I assumed that my A0 was no longer being considered because my A1 received a better score. The timeframe is :

10/12/2017 – A0 submitted
04/05/2018 – Scientific Review Completed (Impact Score:37)
04/24/2018 – Summary Statement available
05/02/2018 – JIT request from PO
05/24/2018 – Council meeting
07/12/2018 – A1 submitted
11/14/2018 – Scientific Review Completed (Impact Score:18)
12/21/2018 – Summary Statement available
01/24/2019 – Council meeting

Unfortunately, my PO is not very responsive. I emailed him several times since I received the summary statement of the A0 application (yes A0). I have never received a response. So I have no way of knowing the likelihood of funding.

{not a complete to award timeline but an indicator of what to expect for fellowships}:

Excellent blog! My F32 A1 application was scored within the payline (7th %, 22 impact score) for NHLBI last June and my PO said it would probably be funded in the FY2019 budget period but my application has been pending for over 3 months now and I am a little concerned. So far this has been my timeline:

06/13/2018: Scientific Review Group review completed. Refer any questions to Program Official.

11/30/2018: Pending administrative review. Refer any questions to Program Official or Grants Management Specialist. JIT requesting IACUC approval and confirmation of degree conferral date sent to me by email.

12/4/2018: JIT materials submitted.

1/25/2019: Second JIT request asking for earliest possible start date sent to me by email and response submitted the same day.

Other comments here suggest R01 type grants can be pending for a long time but other postdocs with F32s that I know got their NOAs within 1-2 weeks of JIT requests. Should I reach out to my PO again or just wait it out?

Thanks!

Writedit, thank your so much for your insight and encouragement as I have been pursuing my R15 grant. I finally got NOA this week. Here is my timeline:

I’d like to add my timeline for an NIDDK K01. Seeing these from others was really helpful to me when I waiting for my NoA. This goes back to 2017, when I submitted the A0. I hope it helps others. I do wonder if this was atypical timing though, as it seemed to happen really fast from score to NoA, maybe so they could keep it in the fiscal year ending 8/31?

06/12/2017: A0 Submitted to DK

I also have a question on the K research budget. I’m starting the second year of the award, and more hands would help me to move at the pace I want. I was advised by a mentor to hire an undergrad for hourly paid work. My dept admin is telling me that they cannot put that on my shortcode, that it’s not allowed because of this statement in the solicitation “Salary for mentors, secretarial and administrative assistants, etc. is not allowed.” and that the way they would put this in my K account it would appear as an “administrative salary cost.” They are double checking this as not allowable with our grants office, since this K is a first for them. Is this truly not allowed for K awards? Or is it allowed, and this is some admin/institution-specific thing? I did not write non-salaried technician support into my research budget (I don’t know if this is allowed), though I did dedicate quite a bit to core services which includes staff support. If anyone has experience please advise. Thank you in advance.

Hi Writedit, I have been reading this blog for several months, and I’d like to let you know that this blog is so invaluable for early-stage investigators like me to navigate the complicated NIH grant application process. Thanks so much for maintaining this site. Here please let me share the timeline of my first R01 application (NIGMS).

Jul 27, 2018: JIT requested
Jul 30, 2018: JIT submitted
Aug 20, 2018: Award Prepared
Aug 23, 2018: NoA posted

There is ~17% budget cut which is slightly disappointing, as colleagues mentioned they are unlikely to cut a NI/ESI. Oh well, happy to have the grant!

Woohooo! Got my NoA for my K99 A0 submitted to NIMHD. One year ago when I started working on this application, it was to get rigorous grant writing experience. I was so sure that a secondary funding source would be able to support me for an additional year. But, that secondary source never materialized and all my hopes rested on this K99. Funny how things work out! April/May/June/July were stressful months as I wavered between looking for another postdoc position or just sitting tight and waiting. And, Visa stress on top of that. But here’s to all that time spent obsessively refreshing eRA commons status.

Here’s the timeline to award in reverse chronological order:

08/17/2018 12:37 am – A0 Application awarded, A1 withdrawn

07/12/2018: Submitted A1 (resubmission)

05/2018: Phone call with PO to discuss funding potential and my situation with contract renewal. PO was optimistic but suggested a resubmission to be safe.
05/15/2018 Council review completed.
05/04/2018: Submitted JIT in response to the automated link emailed. No JIT was ever explicitly requested from PO or GMS. I guess all the documents were in order.
04/2018: Phone call with PO to discuss summary statement. PO requested a response to reviewers’ comments.

Hello All, I learned a lot from this forum. I wanted to share the timeline for my K99 application to NHLBI here

A1 Submission:

08/22/2018 Application awarded.
08/20/2018 Award prepared.
08/01/2018 JIT requested.

Also, as a side note, you have the chance to revise your budget at the time of JIT request. In my case, they accepted the revised budget which was asking for a little more.

Just received the NoA this morning for my R01-A0 from NHLBI. Here is the timeline:

I thought I would share the timeline of a recent grant, which depending on your perspective is either a monument to perseverance or demonstration of the fact that, despite claims to the contrary, NIH does not really value innovation. I say the latter because the project below has barely changed since the original submission. It was eventually funded largely because we continued publishing data supporting our hypothesis. (We were then criticized during the last review for not proposing something truly innovative.) Unfortunately, the delay in securing support meant shutting down my lab and relocating myself (and my family) to a new (and lower-ranked) institution.

However, NIGMS cut my budget ~20% without any notice, and I have lost ESI benefit from today. But anyway, I am still very happy to receive the first R01.

I am happy to share good news. My R01 grant was awarded today. I would like to share my time line for the people who are active in this forum. I especially thank to writedit for his service to the forum and his prompt reply to all my questions. I really learned a lot during this whole process.

HI.
I am so excited that finally received my Notice of Award after months of waiting and after months of checking my eRA Commons status obsessively!

Here is my time line. Hope it helps future K awardees-

Feb 2017- First application

June 2017- Impact score 30

Oct 2017- Council review completed. Summary Statement discussed with PO. Who said she cannot promise anything, doesn’t have the budget for 2018. Reapply to be safe.

Nov 2017- Resubmission

March 2018- Impact score 25.

April-June 2018- No specific promises or signs of hope from PO. JIT submitted in May.

June 29th- Council meeting.

Jul 9 2018- Notice of Award.

This blog has been a great source of support and camaraderie, the only place to be able to see other people facing similar problems. If a K was this long-drawn, i can only imagine how R01s are!

Thanks writeedit!

Dear Writedit,

I benefit from this forum a lot. This morning I received my K99 NOA. I got my score in grey area but lucky to fall in the payline for FY2018. I would like to share my application time line with people here. Hope it will be helpful.

I also have a minor question about the salary. There is a salary cap of 75K per year in the institute, we made a budget as 75K, but NIH cut my salary as 70K. Is there any way to adjust it to the originally proposed level? Can I negotiate this with my GMS or just deal with within our department? Thank you in advance for your suggestions.

Thank you!

I find this blog very useful and wanted to provide some of my data to add to the pool. I received a NoA for my R01. Here is the timeline with pertinent information. Happy hunting

04/13/2018 NoA received (12:03 AM), Commons status changed to “Application awarded.” (Project start date: 04/15/2018)

04/05/2018 Commons status changed to “Award prepared: refer questions to Grants Management Specialist.”

03/09/2018 JIT submitted.

02/27/2018 Grants Management Specialist sends email request for JIT.

02/15/2018 Commons status changed to “Pending administrative review. Refer any questions to Program Official or Grants Management Specialist.”

02/14/2018 PO email response “Yes, if you have ESI status there’s a very good chance your application will be funded.” (NOTE: this was the 1st positive news I received.)

02/14/2018 Email inquiry to PO regarding updated paylines.

02/14/2018 NIA blog publishes “we are now paying AD/ADRD percentiled research grant applications …. early-stage investigators: 23rd percentile…. You may expect an award if your application scored within these percentiles”

RESTRAINED SILENCE

10/04/2017 PO email response “Pay line will depend on availability of funds and therefore an FY18 budget allocation from the Congress. Regarding your application no issues were raised at Council.”

10/04/2017 Email inquiry to PO inquiring if anything was identified at council that would prohibit the proposal from being funded? (what I was really trying to ask here was, ‘Must I resubmit or send a rebuttal?’)

09/09/2017 Commons status changed to “Council review completed.”
(NOTE: council held on 09/26/2018)

07/10/2017 Summary Statement available. 1st email inquiry to PO. No indication of likelihood. PO indicates there are some issues which could be addressed in a resubmission. PO suggests resubmission as safest option. NOTE: I did not take this advice, score was 12 % below FY17 payline and climate in Washington is currently very supportive of funding ADRD research. According to FY17 ESI payline this application would have probably been funded without being ADRD. If my score was 25 % or above I would have probably resubmitted.

07/05/2017 Scientific Review Group review completed: Council review pending. Refer any questions to Program Official. Changed around midnight

07/05/2017 Score Posted ~2:30 pm, 21st percentile, Impact Score 48 (ESI, ADRD)

06/30/2017 Study Section Meeting (DDNS)

02/14/2017 Commons status changed to: “Scientific Review Group review pending. Refer any questions to the Scientific Review Administrator.”

02/06/2017 A0 application entered into system (primary institute: NIA)

I received my A0 K99 from the NIMH a while back and wanted to share my timeline for those who, like me, are trying to make sense of it all:

11/29/2017 response submitted
12/04/2017 non-automatic JIT request received “considered for EOY funding”
12/13/2017 call with PO, “looks very good” Because of human subjects concern IRB approval needed to be obtained. This took a while.
01/23/2018 IRB approval came through and final JIT documents were uploaded
01/25/2018 council meeting
01/30/2018 status: council review completed

Thank you, writedit, for this very helpful blog. I recently received my notice of award for a K08 (A0 application) from NIMH, and wanted to share my timeline in case it is helpful to others. I will also share that this was my fifth NIMH grant application that I submitted over the course of the past 7 years (including F31, F32, and R34 applications). I have learned through this process that early engagement with program officers is key, that aligning project aims with programmatic priorities is at least as important as writing a scientifically sound application, and that persistence pays off!

Thank you so so so much for your response !!!

I just want to confirm again about the FY 2018.

Here is the timeline of my R21 application.

11/15/2016 Application entered into system
11/23/2016 Scientific Review Group review pending.
03/07/2017 Scientific Review Group review completed.
05/03/2017 Council review completed.

As you can see, I submitted my application in November, 2016. So, I thought my award is for FY2017.

Hi Writedit,
Just received NOA from NIA and wanted to share timeline if it helps others.
Timeline as new faculty:
06/05/2015 – 1st submission to regular study section = not discussed (At first, I was admittedly very embarrassed … now I tell any new PI so they see it can end with a positive outcome… one step at a time).
12/16/2015 – Revised but sent to PAR for AD as A0 = impact score 47, 41%
06/07/2016 – Revised and sent to same PAR for AD as A1 and included all suggested changes and new data = impact score 29, 14% (*last cycle for ESI status). I let my PO know that I was losing ESI after this cycle and that seemed to be a relevant fact.
Council 01/2017 and PO on fence about state of budget and funding
I emailed PO periodically – through March 3rd – PO had little info to share but always responded and provided a date to follow-up. Have always had good interactions with NIA POs!
3/3/2017 – PO indicates application on list to be paid
5/15/2017 – NOA; but cut in budget despite being AD (~20%)

What is your advice regarding conversations with PO to scale back the science so it can fit into the revised budget?
